Unfortunately Excel workbooks don't share well. If you want it to work well, you can use an Excel frontend to a shared database (if you don't have Acess, just use Jet which is on everyone's machine for free).
If you can't do this for some reason, then my advice would be to keep the shared workbook as small and simple as possible, and to take very frequent backups to minimize the recovery problems.
